Chart of Accounts

A chart of accounts is a structured set of rules and codes used to classify, record, and track the financial transactions of a company or organization. It serves as a standardized reference to organize accounting and financial operations into specific categories and accounts, facilitating the management, analysis, and presentation of financial information.

You can edit, delete, and add journals to use them for manual entries or to assign specific configurations (such as making a journal parent of customer-related operations, for example).

How to

  1. Go to Accounting › Chart of accounts to view the account tree.
  2. Click Add account then enter the number and label.
  3. Attach it to a parent account or an accounting class.
  4. Save; use the search to find or edit an account.

Journal Entry

You can add manual journal entries by entering the credit and debit of the transaction while ensuring that these two are equal. A manual journal entry must be posted to be considered. The number is automatically generated following automatically generated accounting entries.

How to

  1. Go to Accounting › Journal entries then click New entry.
  2. Choose the journal and the transaction date.
  3. Fill in the lines with the account, the debit and the credit.
  4. Check that debit = credit then publish the entry to validate it.

General Ledger

In the general ledger, you will find all the accounting operations of your company along with the results of credits and debits. The most important indicator is to end up with a bottom line of 0 (Balance), which means that all operations are properly balanced (Credits = Debits).

Filtrer — You can filter the general ledger by start date and end date by changing the 'From' and 'To' fields and clicking on 'Filter'.
Exporter — By clicking on Export, you can also download your general ledger in xls, csv, xlsx, and tsv formats from the start and end date of your choice and in your preferred language.

How to

  1. Go to Accounting › Consultation › General ledger.
  2. Filter by period and by account to target the transactions.
  3. Check that the balance at the bottom equals 0 (debits = credits).
  4. Click Export to download the general ledger.

Balances

The Balances Tiers combine the balances of customers and suppliers, split into two sections unlike the general ledger. You can also export these balances or filter them by date or by supplier / customer.

How to

  1. Go to Accounting › Consultation › Third-party balance.
  2. Choose the Clients or Providers tab.
  3. Filter by date or by a specific third party.
  4. Click Export to retrieve the balance.

Legal Journals

Legal journals display your accounting entries organized by journal type (sales, purchases, bank, miscellaneous operations). Each journal lists its entries with sequential numbering, debit and credit amounts. You can filter by date range and export any selected journal.

How to

  1. Go to Accounting › Legal journals.
  2. Select the journal type (sales, purchases, bank, miscellaneous).
  3. Filter by date to display the numbered entries.
  4. Click Export to print the journal.

Third-party Balance

The third-party balance report shows the balances for your clients and suppliers separately, with debit and credit totals per third party. You can filter by date range and by a specific client or supplier to get a detailed view of each account.

How to

  1. Go to Accounting › Consultation › Third-party balance.
  2. Switch between the Clients and Providers tab.
  3. Filter by period and by third party to see debit/credit balances.
  4. Click Export to download the third-party balance.

General Balance

The general balance displays the balance of all your accounting accounts, including the opening balance, period movements (debit and credit), and closing balance. You can filter by date range and export the report in multiple formats.

How to

  1. Go to Accounting › Consultation › General balance.
  2. Filter by date or by fiscal year.
  3. Review the opening balance, the movements and the closing balance of each account.
  4. Click Export in the desired format.

Fiscal Years

Fiscal year management allows you to create, close, and administer your accounting periods. Each fiscal year is defined by a start date and an end date.

Closing a fiscal year automatically generates closing entries and opening entries for the new year. Once closed, all entries belonging to that period are locked and can no longer be modified.

How to

  1. Go to Accounting › Fiscal years then click New fiscal year.
  2. Set the start date and the end date of the period.
  3. Save to activate the accounting period.
  4. To end a period, use Close; this action is irreversible.
Attention : La clôture d'un exercice est irréversible. Les écritures de la période seront verrouillées.

Prepaid Expenses (Deferrals)

Deferrals allow you to spread an expense or revenue across multiple accounting periods. You can link a deferral to an invoice or an expense document.

Define the start and end dates of the deferral: the system automatically calculates the monthly amounts and generates the corresponding journal entries according to the defined schedule.

Once activated, journal entries are created automatically according to the schedule. A deferral can be linked to an entire document or to individual lines within that document.

Fixed Assets

Fixed asset management allows you to track your company's assets using linear depreciation. Create an asset from an expense document or enter it manually.

The depreciation schedule uses the straight-line method with pro-rata temporis calculation. The system generates 3 types of journal entries: acquisition, depreciation charges, and disposal.

When disposing of a fixed asset, the gain or loss is automatically calculated and the corresponding journal entries are generated.

Acquisition — Écriture d'achat de l'actif

Calcul de l'amortissement : La méthode linéaire répartit le coût de l'actif uniformément sur sa durée de vie. Le prorata temporis ajuste le montant de la première et dernière année en fonction de la date d'acquisition et de cession.

How to

  1. Go to Accounting › Asset management › Fixed assets then click New fixed asset.
  2. Enter the acquisition value, the date and the useful life.
  3. Choose the straight-line method with prorata temporis.
  4. Save to generate the depreciation entries.
  5. When selling, use Disposal to compute the capital gain or loss.

Bank Reconciliation

Bank reconciliation allows you to match your bank statement entries with your accounting entries. Import your bank statements and reconcile them with your records.

Select a bank account, import or enter statement entries, then match them manually or automatically with existing journal entries in your accounting records.

VAT Declaration

The VAT declaration compiles all VAT collected and deductible VAT for a given period, and displays the net amount to pay or the remaining VAT credit.

Manual fields can be saved per period and the declaration can be exported. Both monthly and quarterly periods are supported.

How to

  1. Open the Reports page then click VAT declaration.
  2. Select the period to declare.
  3. Review the compiled collected VAT and deductible VAT.
  4. Note the net amount due or the VAT credit then export.

Balance Sheet

The balance sheet report shows your company's assets, liabilities, and equity at a given date. You can filter by fiscal year and export the report in multiple formats.

Actifs — Immobilisations, stocks, créances
Passifs — Dettes, provisions, emprunts
Capitaux propres — Capital, réserves, résultat
Structure du bilan :
• Classe 1 — Comptes de capitaux (capital, réserves, résultat)
• Classe 2 — Comptes d'immobilisations (terrains, matériel, brevets)
• Classe 3 — Comptes de stocks et en-cours
• Classe 4 — Comptes de tiers (clients, fournisseurs, État)
• Classe 5 — Comptes financiers (banques, caisses)

How to

  1. Go to Accounting › Financial reports › Balance sheet.
  2. Filter by fiscal year or by date.
  3. Review the assets, the liabilities and the equity.
  4. Click Export in the desired format.

Income Statement

The income statement shows your revenues, expenses, and net result for a given period. It is organized by account classes with intermediate subtotals.

How to

  1. Go to Accounting › Financial reports › Income statement.
  2. Choose the period to analyse.
  3. Review the revenues, the expenses and the net result by account class.
  4. Click Export to download the report.

Cash Flow Statement

The cash flow statement shows cash movements organized by operating, investing, and financing activities for a given period.

Exploitation — Activités opérationnelles
Investissement — Acquisitions et cessions
Financement — Emprunts, apports, dividendes

How to

  1. Go to Accounting › Financial reports › Cash flow statement.
  2. Select the desired period.
  3. Analyse the flows by operating, investing and financing.
  4. Click Export to retrieve the statement.

Financial Statements

This page provides an overview of all your financial reports (balance sheet, income statement, cash flow statement) and allows you to generate a complete financial package for a given period.

How to

  1. Go to Accounting › Financial reports › Financial statements.
  2. Choose the period of the file.
  3. Access the balance sheet, the income statement and the cash flow.
  4. Click Generate file to produce the complete report.

Landed Cost

The landed cost module links your ancillary import charges (transport, customs, transit, warehousing, freight) to your purchase invoices and allocates these charges to each item.

Five distribution methods are available: by value, by weight, by volume, by quantity or manual. Validation automatically generates journal entries.

The item page is enriched with the real WAUC (weighted average unit cost including import charges), the real margin per product and a negative margin alert. Four dedicated reports are accessible from Reports > Landed cost.

How to

  1. Go to Accounting › Asset management › Landed costs then click New landed cost.
  2. Link the purchase invoice concerned by the import.
  3. Add the additional charges (freight, customs, transit, shipping).
  4. Choose the allocation key across the items.
  5. Validate to include these costs in the cost price.

Analytical Accounting

Analytical accounting lets you allocate your charges and revenue across cost centers, departments, projects or any analysis axis you define.

Create your analytical axes (e.g., Department, Project, Region) then add cost centers under each axis. Allocations are then linked to journal entries with an amount and percentage.

The analytical report shows distribution by center with a donut chart, monthly evolution per center, and a detailed table with percentages. Filter by axis, center or period.

How to

  1. Go to Accounting › Analytical › Analytical axes.
  2. Click New axis and define a cost center, department or project.
  3. Allocate your expenses and revenues across the created axes.
  4. Open the Analytical report to analyse the breakdown.

Period locks

Period locking lets you block entry and modification of accounting entries over a closed or reviewed period, to preserve the integrity of your data.

Set a lock date: any entry before that date can no longer be created, modified or deleted. The lock can be lifted by an authorized user if needed.

The lock applies to all journals and operations of the period. Access it from Accounting > Period locks.

How to

  1. Go to Accounting › Period locks.
  2. Choose the period to lock.
  3. Click Lock to block entry and modification of records.
  4. If needed, use Unlock to reopen the period.

Budget Forecast

The budget forecast module lets you define your budget forecasts per account and period (monthly or quarterly) for each fiscal year.

The Entry tab lets you add accounts, enter budgeted amounts per period and save the plan. The Comparison tab displays real-time budget vs actual with variances in amount and percentage.

Budget overspends are flagged visually in red. A summary shows total budgeted, total actual and the number of accounts over budget. Access from Accounting > Fiscal Years.

How to

  1. Go to Accounting › Fiscal years then open a year and click Budget.
  2. Choose the account to budget.
  3. Enter the forecasts per monthly or quarterly period.
  4. Save to later compare actuals against the forecast.

Regularization Entries

Regularization entries allow you to adjust your accounts at year-end: bad debt provisions, stock depreciation, provisions for risks and charges, currency adjustments, accrued expenses and prepaid revenue.

Each regularization entry automatically generates a journal movement (debit/credit) on validation. Entries marked as reversible can be reversed in one click, creating the reversal entry with the defined reversal date.

Regularizations are organized by fiscal year. Access them from Accounting > Fiscal Years by clicking the 'Regularizations' button for the relevant fiscal year.

How to

  1. Go to Accounting › Fiscal years then open a year and click Regularizations.
  2. Choose the type (provisions, stock depreciation, accrued charges, deferred income).
  3. Fill in the accounts and the amounts to adjust.
  4. Validate to generate the year-end entries.

Closing Assistant

The closing assistant guides you through the 4 steps required before closing a fiscal year: account reconciliation check, regularization validation, provisional result review and final closing.

Each step displays a visual status (green, orange, red) to immediately identify what's done and what remains. Closing is blocked as long as regularizations are still in draft.

Access the assistant from Accounting > Fiscal Years by clicking the 'Closing Assistant' button for the relevant fiscal year.

How to

  1. Go to Accounting › Fiscal years then open a year and click Closing assistant.
  2. Check the lettering of third-party accounts.
  3. Validate the year-end regularizations.
  4. Review the provisional result then run the final closing.

Account Reconciliation

Match debit and credit entries on the same account to identify open balances. Select an account, check the entries to reconcile and validate when the difference is zero.

Auto reconciliation detects matches by amount (exact 1 or 1 combinations). Each reconciled group receives a unique code (AA, AB, AC...). The unreconciled balance is displayed in real time.

Unreconciling is possible at any time by clicking the unlink icon next to the reconciliation code. Accessible from Accounting > Consultation > Reconciliation.

How to

  1. Go to Accounting › Consultation › Lettering.
  2. Select the account to reconcile.
  3. Tick the debit entries and credit entries that offset each other.
  4. Validate when the gap is zero to letter the balances.

Bank categorization rules

Categorization rules automate bank reconciliation: when a statement line matches a rule (label, amount, direction), it is automatically assigned to the right account or third party.

Each rule defines conditions (contains a keyword, amount, debit/credit) and an action (accounting account, category). Rules speed up processing of recurring statements.

How to

  1. Open the Bank reconciliation then click Categorization rules.
  2. Click New rule.
  3. Define the conditions (label, amount, direction).
  4. Choose the account or the third party to assign automatically.
  5. Save; matching lines will be categorized automatically.

Sales statement

The sales statement summarizes revenue and collected VAT over a period, from invoices and credit notes. It feeds the VAT declaration.

How to

  1. Open the Reports page then click Sales statement.
  2. Select the period to analyse.
  3. Review the turnover and the collected VAT from invoices and credit notes.
  4. Click Export to prepare the VAT declaration.

Purchases statement

The purchases statement summarizes expenses and deductible VAT over a period, from expenses and supplier invoices, for tax tracking and the VAT declaration.

How to

  1. Open the Reports page then click Purchases statement.
  2. Select the desired period.
  3. Review the expenses and the deductible VAT from expenses and supplier invoices.
  4. Click Export for tax monitoring.

Consolidation

Consolidation aggregates the financial statements of several companies in your group into a single set of statements (balance sheet, income statement). It requires access to at least two companies.

Select the companies to consolidate and the period; Iberis sums the balances per account and presents a consolidated statement, useful for a group-wide view.

How to

  1. Go to Accounting › Financial reports › Consolidation.
  2. Select the group companies to aggregate.
  3. Choose the consolidation period.
  4. Click Generate to obtain the consolidated balance sheet and income statement.
