Receipts

A receipt is a document used to record the receipt of goods, merchandise, or equipment by a company. It plays a crucial role in the process of inventory management and logistics operations.

The Receipts Summary page allows you to access your receipts, delete, invoice, and validate receipts in bulk, import them in bulk, or create a new receipt.

To add a document, make sure to enter the correct date and number, fill in at least one item (element). You can add items from your stock or add new ones that are not existing. You can also provide a note and an object on your document. You also have the option to choose whether your items are Tax Exclusive or Inclusive, to have tax calculated plus or minus on the document. You can choose the language of your document and also add a watermark. On the same page, you can choose what to show and what to hide in your PDF, such as delivery address, photos of items, or even item prices (not applicable to Sales or Supplier Invoices). You can also attach attachments to a document. A saved document can be Duplicated, Downloaded, Sent, and Deleted. You can also generate other documents of the same category (Delivery Note to Invoice, Receipt to Purchase Order...)

How to

  1. Go to Purchases › Receipts then click New receipt.
  2. Choose the supplier and set the reception date.
  3. Add the received items with their quantities and prices.
  4. Save as draft or validate the receipt.

Import

This feature allows you to import receipts in bulk. You can download the example file at the top right of the page and follow the same example to fill out an XLS, CSV, TSV, or XLSX file. Choose the delimiter of your file if you are using a CSV and the encoding used, then upload your file.

Once your file is uploaded, link the columns of your file with the fields in the add form. For example, if your file has a column titled Supplier, you must choose it in the Mapping form as the supplier.

Please make sure your contacts adhere to the displayed rules in order to process them. If a line of the receipt does not adhere to them, it will be ignored, and the import will continue from the next line.


Orders

A purchase order is a document used to record the order of goods, merchandise, or equipment by a company. It plays a crucial role in the process of inventory management and logistics operations.

The Purchase Orders Summary page allows you to access your purchase orders, delete, invoice, and validate purchase orders in bulk, import them in bulk, or create a new purchase order.

To add a document, make sure to enter the correct date and number, fill in at least one item (element). You can add items from your stock or add new ones that are not existing. You can also provide a note and an object on your document. You also have the option to choose whether your items are Tax Exclusive or Inclusive, to have tax calculated plus or minus on the document. You can choose the language of your document and also add a watermark. On the same page, you can choose what to show and what to hide in your PDF, such as delivery address, photos of items, or even item prices (not applicable to Sales or Supplier Invoices). You can also attach attachments to a document. A saved document can be Duplicated, Downloaded, Sent, and Deleted.   2. Choose the supplier and set the order date.
  3. Add the items with quantities, price and taxes.
  4. Save as draft or validate, then convert the order into an expense.

Import

This feature allows you to import purchase orders in bulk. You can download the example file at the top right of the page and follow the same example to fill out an XLS, CSV, TSV, or XLSX file. Choose the delimiter of your file if you are using a CSV and the encoding used, then upload your file.

Supplier Invoices

Supplier invoices are documents issued by suppliers to their clients, typically businesses, to bill for goods or services provided. These invoices play a key role in the financial and accounting management of companies.

The Supplier Invoices Summary page allows you to access your invoices, delete and validate invoices in bulk, import them in bulk, or create a new invoice. The summary page also displays the total amount of paid invoices, the total amount of overdue invoices, and the comparison and evolution of paid supplier invoices for this year and the previous year.

To add a document, make sure to enter the correct date and number, fill in at least one item (element). You can add items from your stock or add new ones that are not existing. You can also provide a note and an object on your document. You also have the option to choose whether your items are Tax Exclusive or Inclusive, to have tax calculated plus or minus on the document. On the same page, you can choose what to show and what to hide in your PDF, such as billing address, photos of items, or even item prices (not applicable to Sales or Supplier Invoices). You can also attach attachments to a document. A saved document can be Duplicated, Downloaded, Sent, and Deleted. You can also generate other documents of the same category (quote to Invoice, Receipt to Purchase Order...)

A supplier invoice can be scheduled to regenerate in each predefined cycle by indicating the desired recurrence, such as every 2 weeks or every 3 months (...). You can record your payments on an invoice directly within it, and you can also view the related accounting entries directly on the invoice.

How to

  1. Go to Purchases › Expenses then click New expense.
  2. Choose the supplier and set the date and due date.
  3. Add the items with quantities, price and taxes.
  4. Enable recurrence to regenerate the expense automatically (optional).
  5. Save as draft or validate the expense.

This feature allows you to import invoices in bulk. You can download the example file at the top right of the page and follow the same example to fill out an XLS, CSV, TSV, or XLSX file. Choose the delimiter of your file if you are using a CSV and the encoding used, then upload your file.

Service Provision

A certificate of service provision between a company and an independent worker, often called a service provision contract, is a legal document that establishes the terms and conditions of collaboration between the two parties. This document serves to formalize the professional relationship and define the rights, responsibilities, and expectations of each party.

The Service Provision Summary page displays the list of your service provisions with the relevant independent supplier, the amount of the service, the date, and the withholding tax amount. You can access, delete, download, or validate your service provisions in bulk from this page.

To add a service provision, make sure to fill in your company's fiscal identification number, the identity number of your provider, the date and location of the assignment, the amount, and choose whether you want to include a confidentiality clause in the provision. Only suppliers of type 'Individual' are displayed on the list of available suppliers.

Once the service provision is recorded, it will generate a PDF as follows:

How to

  1. Go to Purchases › Services then click New service.
  2. Choose the Individual type supplier and set the date.
  3. Describe the service and enter the amount and taxes.
  4. Save as draft or validate the service.

Issued Payments

On the Payments Summary page, you will find the list of your issued payments with a breakdown between payments made for a service provision and those for supplier invoices. Each line also displays the relevant supplier, payment date, and amount paid. You can delete and download specific or multiple payment attachments.

To add a payment, start by selecting the relevant supplier. Only suppliers who have at least one unpaid (in whole or in part) supplier invoice or service provision are displayed on the payment add page. You can indicate partial or full payments while allocating the received overall amount to different supplier invoices / service provisions of your supplier. You can choose the payment method related to this payment, provide the reference, and choose whether bank charges apply. You can change the language of the PDF to be generated following this payment, and add your attachments to it.

How to

  1. Go to Purchases › Payments then click New payment.
  2. Select the supplier and the expense to settle.
  3. Enter the amount, the date and the payment method.
  4. Save the payment to update the supplier balance.

Withholding

Withholding are documents issued by an entity (usually an employer or financial institution) to indicate the amounts that have been withheld from an individual's income for the purpose of paying taxes or specific withholdings. These certificates serve various purposes, mainly related to tax management and income reporting.

The Withholding Summary page displays the already generated withholdings with the affected supplier invoices, the withholding amount, and percentage. From this page, you can add a new withholding, delete, and download multiple withholdings as well.

To add a withholding, make sure to choose the correct supplier, provide the fiscal identification numbers, and select the supplier invoices impacted by this withholding. A certificate will be generated afterward, and the withholding amount will be deducted from the amounts payable on the affected invoice.

How to

  1. Go to Purchases › Withholding then click New withholding.
  2. Choose the supplier and the related expense.
  3. Select the withholding rate and check the calculated amount.
  4. Save then download the withholding certificate.

Supplier Reminders

Supplier reminders help you track overdue payments to your suppliers. Create reminders to follow up on unpaid supplier invoices.

Reminders can be sent by email to your suppliers, either automatically or manually. Each reminder shows the overdue amount and the current payment status.
